VCT 5 - Committee

It is a pleasure to announce that we have formed the VCT 5 Committee for conducting the 5th version of Virtual Chess Tournament, inspired by your support and encouragement. As we aspire to grow our VCT family, we certainly need more help. We have introduced some new roles within VCT committee as given below for the 5th Edition, and we will reconsider the roles again in VCT 6, which will mostly be Clash of Clans 2 and will need Clan Leads.

Name of the next tournament will be VCT 5 - Big Bad World and committee will consist of VCT members who have played at least 2 editions of VCT.

Coordinators Jongs (shayon62

Unfortunately, Matcho (Hopelessindian) had to step down from the VCT Coordinator role, due to personal concerns. So for VCT 5, Jongs will be the only Coordinator, but will be aided by some of the VCT members in the new Volunteer role introduced now in VCT committee.

Some core VCT responsibilities of Jongs (aided by Avik) will help be  -

  • Selection and registration of players for VCT 5. 32 players including the players from the previous tournament will be selected by them based on multiple criteria, and making it future proof so that we have players evenly distributed in all categories, which will help to form the future clans. The selection process is ongoing.
  • Collection of funds from all players and formulating the prize money distribution. List of prize categories will be published at the start of the tournament.
  • Circulating the Rules and Regulations at the start of the tournament.
  • Publishing the Tournament format and tentative dates for the Gameweeks and finals.
  • Distribution of prize money to the winners of each prize category.

Volunteers  Irfan (irfan_raza6), Sayak (sayak23), Bikash (Bikashsherpa)

Please note : All the below responsibilities are shared between the Volunteers and Jongs. There will be a different Telegram group for VCT 5 committee. We will guide on the finer details of roles and responsibilities as the tournament progresses.
  • There will be 8 groups in the initial Group Stage for VCT 5, and idea is to have each Volunteer to take complete responsibilities of a couple of groups.
  • Confirming the date and time of the matches per Gameweek for their managed groups.
  • Initiating the matches, sometimes which require connecting with the players.
  • Conducting the match, that means, being present throughout the match and intervene in case of any issues like network disruption etc.
  • Sharing the match result after each match. This is the most important responsibility of Volunteers. Now in VCT 5, with additional Tech Support, we look forward to enhance the data capture process. Please see the * points below for details.
  • Consulting with Coordinator and Consultant Panel on a rematch appeal, if any match has been disrupted due to network issue. Decision of the Volunteers will be final.
  • Ensure fair play in the tournament. Volunteers have the right to highlight to VCT 5 Committee if they have suspicion on any players practicing unfair practices.

VCT AuctioneerAnustup (anustupsikdar)

With an astonishing display of Auctioneering skills, Anustup showed his prowess in this area which also resonates a sound experience which he has collated by conducting various football quizzes and auctions for fantasy premier leagues. So depending on the format of the tournament, Anustup will either be conducting Auction for players in the next editions of Clash of Clans, or conducting the ceremony to allocate players in Groups or Leagues in future VCT editions. In VCT 5, his responsibility will be -
  • Preparing VCT 5 Groups by conducting the VCT 5 Group Allocation ceremony. There will be 32 players in total to be allocated to 8 groups with 4 players each.
  • There will be no restriction (seeding of players) in VCT 5.
  • The Group Allocation ceremony will be done online and the dates will be published well before so that other members can also join and experience the same.

VCT L&D (Learning & Development) -

Sudipta (sudiptadebnath2020) & Bikash (Bikashsherpa)

While Bikash has always been keen enough to share his knowledge on chess in all VCT editions, including writing VCT match reports on a few editions before, Sudipta has also been sharing his knowledge on chess, not only in his clan but with wider team as well.

From VCT 5 onwards, we will have a VCT library which will contain useful artefacts about chess, be it pdf books, or notes, or Youtube video links. We will discuss on the finer details before VCT 5 starts.

Pdfs/ebooks for chess learning can be uploaded at VCT Library and will be available for everyone.

VCT L&D department can also share puzzles, youtube videos and other tricks and tips on whatsapp groups, however it will be good if we can find a way to store them on VCT Library.

Consultant Panel –

Sandy (buhu_s), Irfan (irfan_raza6)

Our Consultant Panel comprises of two very strong chess players who will be consulted for -

  • Establishing the rules around equal Points (draw scenario for qualification) in Group Stage. Here Opposition Points (OP), that was established in VCT 3 may again be reused. However the final rules and format of the tournament will be confirmed with a review from our Consultant Panel.
  • Any concern or queries related to rules of the game of Chess.
  • Decision on rematch appeal.
  • Identifying unfair play if any, in the tournament.

Technical Panel

Avik (champ2w) & Arkadip (Rkdpgupta)

We will help the Coordinators to ensure that the Tournament is conducted smoothly, with an eye towards potential improvements in future. we will be providing IT support where ever required and beautify the tournament as much as possible with -

  • The VCT 5 app – An excel tool for maintaining the schedule and with automated solutions to update scores of each player at every stage of this tournament.
  • Update the VCT 5 app with match results and publish the results of the matches.
  • Data capture for VCT matches will be enhanced and shared between the two, e.g - Actual wins and draws, OP calculation, White/Black win ratio, Accuracy for trivia etc. The particular roles and responsibilities will be discussed and established before the tournament.
  • Publish blogs as required by Coordinators, like rules and prizes, as well as Trivia & Gallery.
  • Conduct Opinion Poll towards the end of the tournament and the blog as well.
  • Consolidate data for all previous editions of VCT.
____________________________________________

*  Data required for each VCT 5 match -

  • Match game report - Screenshot of the Game Report as shared after each VCT match. Sample is given below. This will require the gold membership for fetching the proper analyzed data from chess.com server. This screenshot has to be posted on the main Whatsapp group (VCT 5 - Big Bad World), which will show the result of the match (who won or draw), the accuracy of the players (to be used for Trivia and some other purposes) and move details, eg - if there are any brilliant moves, or how many blunders).

  • Last board position - Screenshot of the last position on the board for each match, This is a new step required in VCT 5, for capturing additional data like time left, actual number of moves and pieces left on board to calculate OP (Opposition points) - to be described in VCT 5 rules. This screenshot can be shared within the VCT Committee group (Telegram) or on whatsapp to Arkadip/Avik directly - This point can be discussed to suit the convenience for the Volunteers.

  • Win/Draw type - This is a a new data to be captured from VCT 5 onwards and will be used in VCT 5 Trivia, and will be planned for further usage. There are two ways to do it.
Option 1: Publish the win/draw method on the schedule message on whatspp group, as our         Coordinators had so far been doing in the previous editions of VCT.

Option 2: Additional screenshot (sample given below) to be sent along with the previous         screenshot of last board position. There is no need to send this screenshot to the main whatsapp group.

We leave it to the volunteers to choose option 1 or 2 for the Win/Draw Type. A complete list of Win and Draw type is given below.

  • Trivia/ Photos - Volunteers including Jongs will be the main committee members who will conduct and monitor the VCT matches If volunteers come across any interesting trivia or game position, please capture the same and share on the VCT 5 Committee group.

The overall idea is - Volunteers and Jongs will do all the data capture for VCT 5, and Technical panel will try to do wonders with those data. I am personally already feeling very excited about this collaboration and together we can take VCT to the next level. So lets give our best shot. Also worth mentioning here that similar to our flexible schedule, the roles are also flexible, and we will support each other all the time. Common example is if a Volunteer is not available for a day or two due to some other priorities, others will support. Together we will make a fabulous team, and thanks to all of you for coming forward to take up the extra responsibilities to make VCT even better! Thank you!
